CRM is an optional module of InvoiceFlash to manage the companies that are not your clients yet: who they are, where they are in the sale, who is looking after each one and what has been said to them. When they close the deal, they become clients in one click, without retyping anything. It is installed separately and only if you need it; it works with the rest of InvoiceFlash: the quotes and emails of each lead are shown in its record and travel with it when it becomes a client.
Each lead has its own record with tabs, like a client's, but designed for selling:
The list filters by company, email, phone, status, source, stage and owner, and lets you delete or act on several at once.
Load a list of leads in one go from Excel or CSV, with a template to download and the rules in plain sight. Imported leads enter at the New stage with no owner, ready to be shared out.
Assign a salesperson to the leads you tick, or press Share out and the program distributes them evenly among the salespeople you choose, giving each one to whoever has the fewest at that moment. The list can be filtered by my leads or by those unassigned, and every change of owner is recorded in the record.
Each lead is at a stage: new, contacted, meeting, proposal, negotiation, won or lost. The funnel board shows one column per stage with its cards, and you change stage by dragging the card to another column, or from a dropdown on touch screens.
The program looks for leads that share a tax ID, email or phone number, even if they are written with different spaces, hyphens or capitals, and presents them grouped. You choose the main one, suggested as the most complete, and the others are merged into it: the contacts, notes, emails and quotes of all of them are kept, and the empty fields are filled with the data of the merged ones. If two companies look the same and are not, mark them as not duplicates and they will not appear together again.
The subscribers who arrive from the form on your website and those you add by hand are in a single list, organised in groups. One of the groups is the default one and automatically receives every new subscriber. The program rejects invalid and duplicate emails.
With your Brevo account, a group of subscribers or leads is synchronised with a Brevo list, and you can send to that list a campaign you have prepared there, without leaving the program.
Each lead has a Do not send emails checkbox: it blocks manual sending and leaves it out of group mailings. In your messages you can include a personalised, signed unsubscribe link: when the recipient clicks it, they are marked as do-not-send, with nothing for you to do.
When the deal closes, the Convert to client button creates the client with all the lead's data, its contacts and its bank accounts, and moves its emails and quotes across. It takes you straight to the new client's record, ready to invoice.
