From quote to invoice, without retyping anything

InvoiceFlash follows the real workflow of a small business: quote → order → delivery note → draft → invoice. Each document is generated from the previous one in one click, without retyping lines or client details, and keeping the sequential numbering the law requires.

  • Quotes with validity terms and conditions, converted into an order as soon as the client accepts.
  • Orders and delivery notes, with control of what was shipped against what was ordered.
  • Invoices stay editable as drafts while under review, and lock as soon as they're issued.
  • Receipts, direct debit batches and returns linked back to the original invoice.
  • Sequential, gap-free invoice numbering, by series.

Veri*Factu: compliant the moment you issue an invoice

Spain's invoicing regulation (Royal Decree 1007/2023) and Royal Decree-Law 15/2025 require invoicing software to guarantee the integrity, inalterability and traceability of every invoice, coming into force on 1 January 2027 for companies subject to Corporate Tax and 1 July 2027 for everyone else, freelancers included. InvoiceFlash already complies today:

  • Integrity: an issued invoice is locked - it can no longer be edited or deleted.
  • Inalterability: mistakes are fixed with a negative corrective invoice, without touching or removing the original.
  • Traceability: every invoice carries a fingerprint chained to the previous one and a tax QR code, and the record can be submitted to Spain's Tax Agency (AEAT) with your digital certificate.

The system supports both the Veri*Factu model (submitting the record to the AEAT at the moment of invoicing) and the non-Veri*Factu regime, which shares the same integrity and traceability requirements.

Facturae: e-invoicing for public administrations

To invoice public bodies, InvoiceFlash generates the Facturae 3.2.1 XML directly from the invoice itself, alongside the PDF for your other clients and email delivery from the same program - no exporting to another tool, no re-entering data.

  • Client record with tax details, billing and shipping addresses, bank accounts and representative.

  • Pricing by client, branch and currency, with volume discounts calculated automatically.

Optional modules

The core covers quotes, orders, delivery notes and invoices. For more specific needs there are independent modules, installed only when you need them:

  • Manufacturing: bills of materials, manufacturing orders, work logs and external warehouses, with purchase orders generated straight from the order.
  • CRM: leads, newsletter, quotes and direct conversion into a client once the deal closes.
  • Accounting: chart of accounts, journal entries, profit and loss statement, and the Spanish quarterly/annual VAT forms (Modelo 303, Modelo 390).
  • Purchasing: suppliers, purchase orders, receptions and supplier invoices.

On your own server or in the cloud

InvoiceFlash is a PHP application with a MariaDB database, with no external dependencies: it installs on any standard web hosting you already have, no special server required. If you'd rather not install anything, you can create your business in the cloud for free and start invoicing in minutes.

General

  • Entirely web-based
  • Runs on any web-server that can accommodate PHP - can use a professionally managed server of an ISP instead of having to purchase and maintain own server
  • Minimal use of javascript for maximum compatibility with all web-browsers and web enabled devices. Some small amounts used to improve error-trapping and user interactivity.

  • All processing is on the web-server with no installation required on client PCs - only a browser and a PDF reader is required.
  • Multi-language - each user can see the interface in their preferred language (Spanish and English).
  • Numbers are displayed appropriately for the language selected and input is allowed in this format.
  • Fully utf-8 compliant. PDF reports produced using adobe CIF fonts for lightweight PDFs using utf-8 character set for any language.

Security

  • Users can be defined with access to only certain options using a role based model. Functions which they do not have access to will not be shown.
  • Options applicable to certain roles can be graphically configured and users defined as fulfilling a given role.
  • Pages can be encrypted using SSL and can be configured to only display pages using SSL to ensure that all information passing over the internet is encrypted.
  • Additional HTTP security can be configured on top of the built-in security, providing two levels of security: the first to access the web-server in general, and the second to actually access the application
  • All inputs are sanitised to prevent SQL injection and cross-site scripting attacks.
