Time and Attendance is an optional module of InvoiceFlash and also a standalone application for recording your employees' working time: who comes in, who leaves, how many hours they work and what was changed afterwards. Everything is stored with its author and its reason, so the record is reliable the day someone asks for it. As a module it is installed separately and only if you need it, and it uses the users you already have in InvoiceFlash; as a standalone application it works on its own, without invoicing.
Each employee clocks in and out with a button, from the web application or from the mobile app. For on-site work, the system checks with GPS that they are at their work centre.
A tablet at the entrance of the office or the workshop lets people clock in without logging in: the employee picks their name and types their PIN. Access to the kiosk is protected by a key in its address, and failed PIN attempts are locked out.
A clock-in never disappears: deleting it marks it as void, but it stays in the record. To correct, add or void a clock-in you always have to give a reason. If an employee forgot to clock in or made a mistake, they send a correction request and the manager approves or rejects it with a comment.
A submitted or approved month is locked: no clock-ins, corrections or imports are possible until it is reopened, and that reopening is also recorded with its reason.
The system reviews the clock-ins and warns about whatever does not add up:
For each employee you see the expected and worked hours, the difference, overtime and the accumulated hours bank, excluding public holidays, holidays and approved absences. Manual balance adjustments carry their reason and cannot be edited or deleted; they are corrected with another adjustment of the opposite sign.
Every creation, correction, void, month close or adjustment is written to a log with who did it, when, why, and how it was before and after. Each entry carries a SHA-256 fingerprint that includes the previous one, forming a chain. The Verify integrity button walks the whole chain and compares it with the real data: if someone edits the database from outside to change a clock-in, the check detects it.
Before clocking in with location, the employee accepts a privacy notice; if the text changes, they must accept it again. By default only the distance to the centre is stored, not the exact coordinates, and you can delete old coordinates from the screen itself: the deletion is audited too. The record is kept for the minimum time you set.
A PDF or Excel report per employee and date range, with the hours of each day, the changes made and the fingerprint of the content, ready to hand over if an inspection asks for it.
What is expected from a time and attendance program, and the audit safeguards InvoiceFlash adds.
| Feature | What it includes | |
|---|---|---|
| What you expect from time and attendance software | ||
| ✓ | 4-year clock-in history | Clock-ins are never deleted (they are cancelled with a reason) and the record is kept for at least four years, as article 34.9 of the Spanish Workers' Statute requires. |
| ✓ | Advanced reports | Official report in PDF or Excel per employee and date range, with net hours, breaks, clock-in type, work centre, origin, changes made and the fingerprint of the content. Plus an hours balance and a clock-in list you can export. |
| ✓ | Clock-in with a photo | On the kiosk, an optional or mandatory photo with every clock-in, deleted automatically after the time you choose. |
| ✓ | Advanced notifications | Email notices of alerts (clock-ins without a clock-out, late arrivals, days without clocking in, working time limits) to the administrators and, if you turn it on, to each employee. You choose which types notify and from which date. |
| ✓ | Overtime control | Per-employee balance with expected, worked and extra hours and an accumulated hours bank. Manual adjustments always keep their reason and cannot be edited or deleted. |
| ✓ | Notifications based on the schedule | Compares clock-ins with each employee's schedule, holidays, vacation and absences, and flags what is missing or does not add up. The employee sends a correction request and the manager approves or rejects it. |
| ✓ | Assisted clock-ins from every device | Clock in from the browser, a phone or a PIN kiosk on a tablet, even offline. If someone forgets to clock in, they request a correction or the manager adds the record with its reason. |
| ✓ | Reports with work centre data | Several work centres, each with its location and radius, assigned to all employees or only some. Each clock-in's centre appears in the list and in the report. |
| ✓ | Vacation and absence management | Requests with a preview of the days and the remaining balance, approval or rejection with a comment, and absences (sick leave and permits) that count in the alerts and in the balance. |
| Audit trail and safeguards | ||
| ✓ | Audit trail with a chain of seals | Every addition, correction, cancellation or close is logged with who, when, why and how it was before and after. Each entry carries a SHA-256 fingerprint that includes the previous one: "Verify integrity" detects any tampering, even made straight in the database. |
| ✓ | Tamper-proof record | A clock-in never disappears: cancelling it leaves it in the record, and every correction requires a reason. |
| ✓ | Monthly close with approval | A month that is submitted and approved is locked: no clocking in, correcting or importing until it is reopened, and the reopening is logged too. |
| ✓ | Privacy notice with consent | The employee accepts it before clocking in with their location and, if the text changes, accepts it again. By default only the distance to the centre is stored, and the deletion of old coordinates is audited. |
| ✓ | Workers' Statute limits | Configurable alerts when the daily limit is exceeded, the rest between shifts is not respected or the weekly maximum is passed. |
| ✓ | Secure kiosk | Key in the address, PIN with lockout after failed attempts, allowed IP addresses and optional location check. |
| ✓ | Breaks and clock-in types | Meal and rest breaks, paid or unpaid, deducted automatically; on-site, remote, travel or at-a-client clock-ins. |
| ✓ | Schedules and holidays | Weekly schedule per employee and a holiday calendar, the basis of the alerts and the hours balance. |
