Quality is an optional module of InvoiceFlash for companies that manufacture and want to run their quality management system inside the same program: ISO 9001 (quality), ISO 14001 (environment) and ISO 45001 (occupational health and safety). It builds on the Manufacturing module: quality checks are made on real manufacturing orders and, if you have the Purchases module, issues are linked to your suppliers. It is installed separately and only if you need it.

Manufacturing inspections

Every inspection is tied to a manufacturing order. It is defined with check points that are either pass / fail or measurements with a minimum and a maximum, and the result is worked out automatically. Inspection plans let you repeat the same check on every order without typing it again.

  • From a failed inspection, the Create NCR button opens the nonconformity with the order already filled in.
  • The manufacturing order screen has buttons to open an inspection or a nonconformity on the spot.
  • A finished inspection is locked: it can no longer be edited or deleted.

Internal audits

An annual programme of audits and templates with the checklist of each standard. When an audit is created the template lines are copied and each one is marked conforming, nonconformity, observation or not applicable, with its evidence. The system works out the compliance rate, and any line with a nonconformity can generate the NCR in one click.

Nonconformities and corrective actions (CAPA)

The nonconformity (NCR) records the severity (minor, major or critical), the finding, the root cause analysis with the 5 whys method, the manufacturing order or supplier involved and the cost of quality. Corrective and preventive actions hang from it.

  • A CAPA goes through open, implemented, pending effectiveness check and closed. The effectiveness check date is calculated automatically (30 days, configurable).
  • On closing, the evidence and whether it was effective are asked for; if it was not, it is reopened.
  • A nonconformity cannot be closed while it has CAPAs that are open or without a verified effectiveness.

Document control and training

Each document has its own cycle: draft, review, pending, approved and obsolete, with a reviewer and an approver who cannot be the same person and with a version history. A new revision can only be started from an approved document, and the program reminds you of periodic reviews.

The training matrix assigns mandatory readers to each document: when a revision is approved, each reader is left with a pending reading, and every person sees their own training and the compliance percentage.

Risks, objectives and management review

Risks and opportunities are scored by likelihood and impact (1 to 5) and rated low, medium, high or critical; they can be quality, environmental or health and safety risks depending on the clause they are linked to. Quality objectives have a target and a current value, with progress calculated. The management review keeps a snapshot of the indicators when it is created, with attendees and follow-up actions.

Suppliers, complaints and calibration

  • Supplier evaluation on quality, delivery and responsiveness, with configurable weights and the average of the last five evaluations.
  • Customer complaints with a configurable response deadline (5 days by default), highlighting of the overdue ones and escalation to a nonconformity.
  • Equipment and calibration with its frequency, the last and next calibration and the valid or overdue status. The calibration history is append-only and can never be deleted.

Quality dashboard and certification readiness

The dashboard gathers in linked cards what needs attention: open nonconformities, overdue CAPAs, upcoming audits, documents to review, objectives off track, overdue complaints, overdue calibrations, cost of quality and failed inspections, with the monthly trend and the breakdown by severity.

Certification readiness crosses every clause of ISO 9001, 14001 and 45001 with the evidence that already exists in the program and gives a verdict: ready, partial or gap. Clauses can be excluded with a justification and the report can be printed for the certification audit.

A tamper-proof record

Every creation, change, status transition, signature, reopening and attachment is recorded in the audit trail. Each entry carries the SHA-256 fingerprint of the previous one, so Verify integrity detects any change made from outside, even directly in the database. In addition:

  • Optional electronic signature: it asks for the password when approving, verifying effectiveness, closing and reopening, and stores the user, date, IP and meaning.
  • Locked records: what is approved, closed or done cannot be edited or deleted; reopening requires a reason and belonging to the authorised group.
  • Print / PDF button on nonconformities, audits, CAPAs, documents, reviews and inspections.
